How we work

Every setup on this site follows the same seven stages. One service, one business type, one fixed scope. Read the stages once and you know what happens next, what we need from you, and what you will have in hand at each step.

India setups go live within 48 hours of the 20-minute setup call. Global setups take 2 to 14 days. The one-time setup fee is paid before work starts, the monthly care plan is billed in advance, and you can cancel from the next billing date. No lock-in.

The seven stages at a glance

# Stage Typical time What you have in hand
1 Discovery message (WhatsApp or email) Reply within 1 business day The matching setup, its fees, call slots
2 20-minute setup call and knowledge card 20 minutes Knowledge card + scope card
3 Order and setup fee Minutes, once you decide Order confirmation + invoice
4 Build from tested components Inside the 48-hour window (India) / 2-14 days (global) Working setup on a sandbox
5 Test with you on a sandbox Inside the same window Ticked go-live checklist
6 Go-live and handover training 15-minute video call Live setup + handover PDF
7 Care plan Month to month Monthly report + monthly review

Seedhi baat: no long project, no retainer you cannot exit, no surprise on the invoice.

Stage 1: Discovery message (WhatsApp or email)
Stage 1 of 7

Discovery message (WhatsApp or email)

What happens

You send one message. WhatsApp +91 77352 68199 or email support@bharataisaathi.com. Tell us your business type, your city, and what is leaking: missed calls, unanswered WhatsApp, no-shows, unpaid fees, no reviews. If you have already found your setup on the catalog, paste its name.

We reply with the setup that fits, its one-time setup fee and monthly care plan fee, and two or three slots for the 20-minute call. If nothing in the catalog fits your case, we say so in the same reply. No form to fill, no deck, no follow-up calls you did not ask for.

Who does what

  • You: one message with business type, city or country, and the one problem you want handled first.
  • Us: reply within 1 business day (Mon-Sat, 10:00-19:00 IST) with the matching setup, its published fees, and call slots.

Inputs needed

  • Business type (dental clinic, coaching centre, salon, real-estate agent, and so on)
  • City, or country if you are outside India
  • The one thing you want handled first
  • Optional: the setup name from the catalog, and whether you prefer the call in Hindi or English

You get

A written reply naming the setup, the setup fee, the monthly fee, and the call slots. The price is in writing before you spend 20 minutes with us.

Typical time

Reply within 1 business day.

Stage 2: 20-minute setup call and knowledge card
Stage 2 of 7

20-minute setup call and knowledge card

What happens

One call, 20 minutes, video or phone as you prefer. We ask about your business the way a new receptionist would on day one: timings and holidays, services and prices, where you are, how customers reach you, what they ask most, what the setup must never answer on its own, and who gets the alert when a human is needed.

Everything goes onto a one-page knowledge card. The card is the single source of truth for your setup: if a fact is on the card, the setup knows it; if it is not, the setup hands over to you instead of guessing.

On the same call we confirm the scope card: exactly what the setup does, what it does not do, the setup fee, the monthly fee, and which platform charges (if any) apply to your setup.

Who does what

  • You: be on the call. Ideally the owner or the person who runs the front desk. Answer plainly, then check the knowledge card when we send it.
  • Us: ask, write, and send you the knowledge card and scope card for a yes or no.

Inputs needed

  • Business timings and weekly off
  • Services with prices (a photo of your price list is fine)
  • Address or Google Maps link
  • The number or account the setup will run on: WhatsApp Business number, Instagram handle, Google Business Profile, calendar, as relevant to the setup
  • Languages your customers write in
  • The human handover rule: who, on which number, in which cases

You get

  • Knowledge card (one page)
  • Scope card (fixed scope, fees, in/out list)

Typical time

20 minutes. The card is written during the call and sent to you for a quick check before the build starts. For India setups, the 48-hour clock starts at this call.

Image brief

Stage 3: Order and setup fee
Stage 3 of 7

Order and setup fee

What happens

You say yes to the scope card. We send the order confirmation and the invoice. The one-time setup fee is paid before work starts. Scope fixed hai, isliye fee bhi fixed hai (fixed scope, so a fixed fee), aur kaam fee ke baad shuru hota hai.

  • India: UPI, cards, or net banking through Razorpay, or bank transfer. GST is charged on Indian invoices where applicable and our GSTIN is printed on the invoice. Listed INR prices are exclusive of GST.
  • International: card through a Stripe payment link, invoiced in USD.

What the fee covers, and what it does not

  • The setup fee (INR 5,000-25,000 one-time, depending on the setup) covers the build, the sandbox test, go-live, and the handover training.
  • The care plan (INR 1,000-6,000 per month, depending on the setup) is billed separately, in advance, month by month. The first month is billed at go-live, then monthly on the same date.
  • Platform charges are not in either fee. They are billed directly to you by the platform: Meta WhatsApp Cloud API conversation fees, Google Ads spend, telecom charges, and AI model API usage where the setup uses it. The scope card tells you which of these apply to your setup, so there is nothing to discover later.

Who does what

  • You: confirm the scope card, share your billing name and address (and GSTIN if you want it on the invoice), pay the setup fee.
  • Us: send the order confirmation and invoice, and schedule the build.

Inputs needed

  • Billing name and address
  • GSTIN, optional, India only
  • Payment of the setup fee

You get

  • Order confirmation: setup name, your business, the number or account it runs on, both fees, the delivery window, and the platform charges that apply
  • Invoice (GST invoice for India; USD invoice with Stripe payment link for international)

Typical time

Minutes, once you decide. The build starts when the payment is received, so paying on the day of the call keeps the full 48-hour window for India setups.

Stage 4: Build from tested components
Stage 4 of 7

Build from tested components

What happens

We do not start from a blank page. Each setup is assembled from components we have already built, tested, and reuse across setups: the messaging connection, the knowledge-card reply engine, booking into a calendar or sheet, reminders, human handover with owner alert, the daily summary. Your knowledge card goes in; replies, timings, and rules specific to your business come out. Because the parts are pre-tested, the build is short and the fee stays fixed.

India setups are built and tested inside the 48 hours from the setup call. Global setups take 2 to 14 days, depending on the setup.

Who does what

  • You: nothing heavy. Stay reachable on WhatsApp for one or two questions and for any access step that needs you, such as a verification code that arrives on your phone at an agreed time.
  • Us: connect the accounts, load the knowledge card, configure the flows, run our internal checks, and put the setup on a sandbox for you to try.

Inputs needed

  • The accesses agreed on the call, given through invites and manager roles wherever the platform supports it, not by sharing passwords
  • Your availability for the access step, if the setup needs one

You get

A working setup on a sandbox number or test environment, ready for Stage 5.

Typical time

Within the 48-hour window for India setups; 2 to 14 days for global setups.

Image brief

Stage 5: Test with you on a sandbox
Stage 5 of 7

Test with you on a sandbox

What happens

Before anything touches your real number or live account, you try the setup on a sandbox: a test WhatsApp number, a preview link, or a paused draft, depending on the setup. You message it the way your customers do. Ask for timings, ask a price, book a slot, write in Hinglish, try to confuse it. You tell us what is wrong or missing; we fix it and you try again.

We walk through the go-live checklist together and tick each line: replies match the knowledge card, booking lands where it should, handover reaches the right person, the daily summary arrives, and nothing answers a question it was told not to answer.

Who does what

  • You: test it like a customer. Send the questions your customers actually ask, and flag anything you would not want a customer to see.
  • Us: fix, re-run, and confirm each fix on WhatsApp. If a fact changed during testing, we update the knowledge card too.

Inputs needed

  • Your honest reactions
  • The real questions your customers ask (screenshots of old chats help a lot)

You get

A ticked go-live checklist: what was tested, what was fixed, and your OK to go live.

Typical time

Usually a short back-and-forth on WhatsApp. It sits inside the delivery window, not after it.

Image brief

Stage 6: Go-live and handover training
Stage 6 of 7

Go-live and handover training

What happens

We switch the setup to your real number or live account. Then a 15-minute video call: what the setup does, how to read the daily summary, how to pause or stop it, how to change a price or a timing, and how handover to you works when a customer needs a human. After the call you get the handover PDF with the same steps, screenshots, and who to contact.

Who does what

  • You: join the 15-minute call, ask everything, and tell your staff what will change from today.
  • Us: go live, train you, send the PDF, and stay on WhatsApp on go-live day.

Inputs needed

  • Your go-live OK from Stage 5
  • The person who will run it day to day, on the call

You get

  • The live setup on your own number or account
  • Handover PDF
  • Completed go-live checklist

Typical time

A 15-minute video call. The PDF follows the call.

Stage 7: Care plan
Stage 7 of 7

Care plan

What happens

A setup is not a one-time job. A price changes, a festival changes your timings, a platform updates its rules. The care plan keeps it running:

  • Monitoring: we watch that it is answering, booking, and reminding as it should, and fix what breaks.
  • Reports: a monthly report in writing. What the setup handled, what it handed over to you, what changed.
  • Updates: knowledge-card changes (a new price, a new timing, a new service) and updates to the components underneath.
  • Monthly review: a short review of what worked and what to adjust for next month.

Support hours are Mon-Sat, 10:00-19:00 IST, excluding Indian national holidays and Odisha state public holidays, with a response within 1 business day.

Money, plainly

INR 1,000-6,000 per month depending on the setup, billed in advance. The first month is billed at go-live, then monthly on the same date. Cancel anytime from the next billing date. No minimum months, no lock-in. Jab chahein, band kar dein. Platform charges (WhatsApp conversation fees, ad spend, telecom, AI model usage where applicable) stay billed directly to you by the platform, as agreed on the scope card.

Who does what

  • You: send changes on WhatsApp as they happen, read the monthly report, join the monthly review.
  • Us: monitor, fix, update, report, review.

Inputs needed

  • Changes in your business as they happen

You get

  • Monthly report
  • Monthly review
  • An updated knowledge card whenever a fact changes

Typical time

Ongoing, month to month.

What you get in writing

Five documents. Each one arrives at a fixed stage, so you always know what has been agreed.

  1. Order confirmation (Stage 3). The setup name, your business, the number or account it runs on, the setup fee, the monthly fee, the delivery window, and the platform charges that apply.
  2. Scope card (Stage 2, confirmed at Stage 3). What the setup does, what it does not do, the inputs you agreed to provide, and the knowledge card attached. Any change to scope is written on the card with its price and agreed before the work, never discovered on an invoice.
  3. Invoice (Stage 3, then monthly). A GST invoice for India, with our GSTIN printed on it; a USD invoice with Stripe payment link for international clients. Care plan invoices go out in advance each month.
  4. Go-live checklist (Stages 5 and 6). What was tested, what was fixed, your OK, and the go-live date.
  5. Monthly report (Stage 7). What the setup handled, what it handed over, what changed, and what we suggest adjusting next month.

Plus the two working documents you use every day: the knowledge card and the handover PDF.

What we never do

No scope-creep billing surprises. The scope card is fixed before the setup fee is paid. If you want something outside it, we quote it in writing first and you say yes or no. Nothing appears on an invoice that you did not agree to in writing.

No lock-in. The care plan is monthly, billed in advance, and you cancel from the next billing date. Your business data and your end-customer conversations are yours; if you leave, your accounts and data stay with you. We keep the rights to our reusable components; you keep everything about your business.

No data resale. We do not sell your data or your customers' conversations, to anyone, ever. Your data goes only to the platforms that run your setup: Meta (WhatsApp Cloud API), Google (Workspace, Calendar, Ads, and Google Cloud hosting where used), Anthropic and OpenAI (AI model APIs), Hostinger (hosting), Twilio or Exotel (telephony, for voice setups), and Stripe or Razorpay for invoices.

No fake urgency. No countdown timers, no "offer ends tonight", no "only a few slots left". The published fee on the setup page is the fee. Take your time, ask your questions, and message us when you are ready.
